The Anniversary Event Coordinator will support the planning and execution of MDC’s 5-Year Anniversary celebration, creating an event that captures the organization’s spirit and showcases MDC’s growth and impact over the past five years. This role will coordinate across internal teams, vendors, and partners to ensure all moving parts, including logistics, communications, and deliverables, come together seamlessly.

This is a 6-month temporary, part-time position averaging 5–10 hours per week, with hours ramping up as the event approaches. The role is hybrid, requiring some onsite presence during the planning stages and full onsite presence on the day of the event.

Key Responsibilities

• Translate the CEO’s ideas and vision into a clear, actionable anniversary project plan with timelines, deliverables, and accountability checkpoints.
• Lead all aspects of the 5-Year Anniversary planning and execution, ensuring the event reflects MDC’s brand and values.
• Coordinate across internal teams to gather input, assign ownership, and track completion of tasks tied to the event.
• Source, negotiate, and manage vendor relationships to secure high-quality services within budget and scope.
• Maintain and actively manage the master project tracker, ensuring deadlines are met and potential issues are flagged early.
• Manage project budget and approval flow, maintaining organized documentation of quotes, invoices, and payments.
• Partner with the Marketing team to shape communications, design materials, and support storytelling for the milestone.
• Provide consistent progress reports to the CEO, including recommendations, next steps, and risk-mitigation plans.

• 3–5 years of experience in event planning, project management, or operations, preferably within a modern, fast-paced environment.
• Strong command of project management and productivity platforms (e.g., Microsoft 365, collaborative workspaces, cloud-based tools).
• Proven ability to coordinate complex projects using multiple systems and digital tools simultaneously.
• Tech-savvy mindset with a passion for efficiency, automation, and leveraging tools to streamline work.
• Excellent communication and organizational skills with sharp attention to detail and follow-through.
• Creative thinker with professional judgment and the ability to problem-solve independently.
